Introduction

This policy explains what personal information Ayda’s Coaching and Trainings LLC ("we", "us") collects through acmosusa.com ("the platform"), why, who we share it with, and your rights. It applies to visitors, students, clients and anyone who contacts us.

1. Who we are

The platform is operated by Ayda’s Coaching and Trainings LLC, a Delaware limited liability company, [postal address], USA. For anything about your personal information, contact [privacy email]. For data protection law purposes we are the "controller" of the information described here.

Independent teachers and practitioners who work through the platform are separate controllers of the information they hold about their own students and clients, and are responsible for their own handling of it.

2. What we collect

Information you give us: your name, email address, phone number, postal or billing address, account login, messages you send us, course progress, and answers you give on forms.

Purchase information: what you bought, when, and the amount, and your shipping address if you order a physical product. Card payments are handled by our payment providers; we do not see or store full card numbers.

Technical information: your IP address, device and browser type, pages visited, and cookie data (see section 9).

Health and wellbeing information: only if you choose to give it, as explained in section 3.

3. Health and wellbeing information

Before a session, you may be asked about your health and wellbeing so that your practitioner can understand your situation. This is voluntary. You decide what to share, and you can leave any question blank.

We collect and use this information only with your explicit consent, which you give by electronically signing the Session consent form before your session. We use it only to prepare for and carry out your sessions and to keep a record of them. We do not use it for marketing or advertising, we do not sell it, and we share it only with the practitioner you book with and with the service providers who store it for us.

You may withdraw your consent at any time by contacting [privacy email]. We will then stop using the information and delete it, unless we need to keep a record of the consent itself or the law requires us to keep it.

We are not a healthcare provider or a health plan, and we do not bill health insurance. Our services are not covered by HIPAA, and we do not claim HIPAA compliance. We protect your health information as described in this policy.

4. Why we use your information, and our legal basis

To provide what you bought or booked (contract).

To run and secure the platform, prevent fraud and improve our services (legitimate interests).

To send newsletters and offers, only if you have opted in, and you can unsubscribe at any time (consent).

To keep financial records and meet tax and legal duties (legal obligation).

To prepare for and carry out sessions using any health information you choose to share (explicit consent).

5. Who we share it with

Teachers and practitioners: the teacher of a course you enroll in receives your name and email so they can teach and support you; the practitioner you book with receives your booking details and any health information you share for that session.

Service providers who process data for us under contract, including our website and customer system (HighLevel), payment processors (Stripe), shipping carriers for physical orders, video meeting tools, email delivery and file storage providers.

Stripe, for purchases made through our international checkout: for those purchases Stripe acts as the reseller and merchant of record and uses your payment and tax information as its own controller, under Stripe's privacy policy.

Practitioners who take bookings through their own payment pages handle that information under their own privacy policies.

Professional advisers, and authorities where the law requires it.

We do not sell your personal information or share it for cross-context behavioral advertising.

6. International transfers

We are based in the United States and our main service providers store data in the United States. If you are in the UK or EU, your information is transferred to the US. We rely on our providers' standard contractual clauses, the UK International Data Transfer Addendum and, where available, the EU-US Data Privacy Framework to protect it.

7. How long we keep it

Account and course records: for as long as your account is active, plus [3] years.

Purchase and tax records: [7] years, as tax law requires.

Session records and health information: [3] years after your last session, or until you withdraw consent, whichever is sooner, except for the signed consent record itself.

Marketing data: until you unsubscribe, after which we keep only what is needed to respect that choice.

8. How we protect it

We use reputable providers with encryption in transit, access controls, and two-factor login on our accounts. Health information is visible only to the practitioner concerned and to us. No system is perfectly secure; if a breach affects you, we will notify you and the authorities as the law requires.

9. Cookies

We use essential cookies to make the site and checkout work. With your permission, we also use analytics cookies to understand how the site is used [and marketing cookies to measure our advertising]. You can accept or decline non-essential cookies through the banner when you first visit, and change your choice at any time [link].

10. Your rights

Depending on where you live, you may have the right to: access the information we hold about you; correct it; have it deleted; restrict or object to how we use it; receive a copy in a portable format; withdraw consent at any time; and opt out of marketing.

To use any of these rights, contact [privacy email]. We will respond within 30 days. We will not treat you differently for using your rights.

If you are in the UK, you can complain to the Information Commissioner's Office (ico.org.uk). In the EU, you can complain to the data protection authority in your country. We would appreciate the chance to resolve your concern first.

11. Children

The platform is for adults aged 18 and over. We do not knowingly collect information from children.

12. Changes to this policy

We will post any changes here with a new date, and tell registered users about significant changes by email.
